1. Bookings

Bookings for workshops and retreats are regarded as confirmed when deposit of 50% has been received. Fulll payment required 2 weeks before commencement of retreat.
Bookings for career guidance and cognitive assessments do not need to be confirmed with a deposit. Payment is required before or on the day of assessment feedback.

Enquiries and bookings placed after 12:00 on a working day might only be processed the next working day.
Enquiries and bookings placed over a weekend or public holiday will only be processed the following working day.

2. Health insurance

Cognitive assessments are covered by many medical aid schemes.
Retreats and coaching are not regarded as therapeutic psychological interventions but as personal development programmes and are therefore not covered by medical aid. Some medical aid schemes will reimburse career guidance assessments, but this cannot be guaranteed. Clients who want to claim career assessments from their medical aid, should first settle their account with Hilde, then request an invoice from her with the appropriate codes required by the medical aid schemes, indicating that payment had been made. Clients can then submit this to their schemes, with the understanding that it may or may not be reimbursed.

 

3. Cancellation policy

There is no costs involved when assessments are cancelled due to an emergency. Hilde reserves the right to refuse subsequent appointments if a prospective client cancels at the last minute with no compelling reason.

Retreat cancellation policy:
The 50% deposit will be refunded if cancellations are received 15 days or more before the start of an event.
If a retreat is cancelled 14 days or less before an event, unfortunately no refunds, since accommodation and other expenses are finalised long in advance.
If your spot can be filled, either by us or by you, we’ll be happy to refund your deposit.

 

4. Cancelled retreats and assessments

In the unlikely event of cancellation from the provider’s side of a retreat, workshop, outing or assessment session in case of an emergency, deposits can be transferred to a subsequent workshop or else will be refunded in full. Assessments will be re-scheduled. We do not accept responsibility for travel, accommodation and other costs incurred. Therefore we recommend travel insurance for our events.

 

5. Under-subscription: retreats

Our retreats and workshops are designed for an optimum number of 8 and a minimum of 3 people. In the event of not reaching our minimum, we are likely to still offer the retreat. We shall endeavour to keep to the programme’s content integrity and times, but with very few people, sessions are quicker and more free time might be available. However, we reserve the right to cancel the workshop in case of too few bookings. In this case, your registration will be transferred to another retreat or a refund will be given. Once again, in the event that we must cancel, we will not be responsible for refunding any costs associated with travel, lodging, or incidentals incurred as a result of registering for a retreat.

 

6. Confidentiality

HPCSA guidelines regarding confidentiality are followed. What is said during sessions, exercises and discussions are strictly confidential. Exceptional circumstances which allow for breach of confidentiality, according to the HPCSA, occur when it is clear that you are a danger to yourself or to others, in which case the sharing of information will be discussed with you before taking it further.

 

7. Complaints

All assessments, sessions and retreats are governed by the code of ethics of the HPCSA. If you are unsatisfied with the work of the facilitator, please take it up in the first instance with Hilde Hay. If that avenue proves to be unsatisfactory, you can direct valid complaints about professional conduct to the Health Professions Council of SA.

 

8. Counselling and clinical services

Hilde Hay does not offer clinical or counselling therapy. One-on-one discussions focus on career path and related topics, retreat contents, learnings and debriefing. These are not therapy sessions. If a need for emotional and psychological support arise, you are encouraged to approach a psychologist or other professional service provider in the area where you live.

 

9. Privacy

Clients who choose to register will need to provide:

• Address
• Contact Number
This information is for the sole use of communication and follow-up. Hilde undertakes to keep the information private and will not forward such information to 3rd parties.

10. Cookies

Hilde Hay does not take responsibility for any damages sustained or relating to the use of this website albeit indirect, consequential or direct, data loss, income, profit, property loss or damage and third party claims implied or otherwise.

Hilde accepts no liability in respect of any loss, claim, cost & damages of whatever nature, whether direct, indirect and/or consequential and however caused (including negligence), which arises from any action or omission by clients attending assessments, retreats and workshops. Without limiting the generality of the above, the disclaimer applies to but is not limited to damages caused as a result of injury or death of any person and any damages caused to the property of any person.
